On-boarding High Volume of Employees with Ease

LGC Hospitality, a national staffing firm with 26 U.S. offices that processes over 50,000 applicants and issues more than 24,000 W‑2s annually, faced a burdensome paper-based on-boarding process. Each hire required a 54‑page application that duplicated information, took up to 1.5 hours to complete, demanded extensive staff review, and made storage, sharing and audit response slow and error-prone—especially for recruiters working at remote event locations.

To solve this, LGC implemented DocuWare Cloud via an Authorized partner: a single online web form that consolidates W‑4, I‑9, direct deposit, Form 8850 and other documents, enforces required fields, auto‑creates and files records into searchable branch cabinets, and routes approvals to payroll. After a one-week rollout, on-boarding time fell to about 30 minutes (with applicants able to complete forms at home), audits and cross‑office access became immediate, payroll workflows accelerated (reducing deposit lag), shipping costs were eliminated, and eligibility capture for Work Opportunity Tax Credits increased.
