Nobilis Group is a Wiesbaden-based sales partner for luxury and niche fragrances that grew from six to nearly 100 employees and needed to make business processes more transparent and productive. Rapid growth had driven a sharp rise in paper and fax-based orders and complex invoice handling, so management decided to digitize order and invoice workflows and integrate a document management system with their Microsoft Dynamics ERP.

Nobilis implemented DocuWare with RecSolution, restructured the fax inbox (customer-specific PC-fax numbers and barcode stickers), added scanning and PDF/email capture, and integrated document capture with Dynamics. The result: about 70% of orders now arrive digitally, daily paper orders are scanned and destroyed, roughly 500,000 documents were archived in four years, order-sorting time fell from over two hours to about 30 minutes, errors and filing costs decreased, and customer-service transparency and productivity improved—delivering a quick return on investment.
