National Crop Insurance Services (NCIS) is a Kansas-based nonprofit that represents companies selling federal and private crop insurance and manages large volumes of member data, research and regulatory materials. With a 45-person staff it needed a secure, single repository for documents (emails, meeting minutes, accounting records, bulletins), better version control and searchable retention policies, plus a more paperless way to distribute time-sensitive information to members.

NCIS implemented DocuWare in a phased rollout (HR first, then organization-wide) to centralize records, back-scan historical minutes, enable version control, and provide member access to federal reports via the website instead of mailing CDs. The system now integrates with their accounting software, archives important email, frees server space through retention rules, and gives staff and members immediate, searchable access to current and historical documents—delivering transparency, streamlined workflows and peace of mind.
