leverdy, one of Germany’s largest newspaper and magazine wholesalers based in Leverkusen, faced an enormous paper burden: up to 300,000 copies delivered daily and roughly 15 million documents generated annually by its Phoenix merchandise system. The company needed tamper-proof, company-wide access to invoices and delivery records, ten-year retention for tax compliance, faster customer service lookups and a way to reduce costly off-site storage and slow, manual approval processes.
leverdy implemented an on-premises DocuWare DMS integrated with Phoenix, automatically indexing and storing documents in secure, role-based digital file cabinets and routing invoices through a digital approval workflow (including Outlook and ZUGFeRD email handling). The change delivered instant searchable access for customer service, mobile approvals, automated posting to Sage, migration to long-term storage and destruction of paper originals — reducing storage costs, speeding approvals (avoiding cash discount losses), improving cash flow and cutting IT administration overhead.
