Kloster Eberbach Foundation, a historic German monastery that operates a hotel, catering, a museum and event space, faced chaotic invoice handling: paper mail circulated between buildings, invoices were hard to track, payments were delayed and sometimes duplicated. This lack of clarity threatened cash discounts and created heavy administrative overhead.
The foundation implemented DocuWare on‑premises with automated indexing and workflows (integrated with Microsoft Dynamics). About 95% of invoices are now received digitally, approvals that once took days are usually completed within an hour, duplicates and reminders have almost disappeared, and staff can modify workflows and authorizations themselves. Expansion to correspondence, contract management and outgoing invoices is already planned.
