Jura, the Swiss maker of high-end fully automatic coffee machines, needed a better way to manage the large document volumes generated by its UK business (38,000 customers, ~5,000 serviced machines per year and roughly 600 service documents weekly). With about 40 UK employees, documents were spread across paper folders and scattered electronic drives, causing lost files, slow searches and friction for customer service and administration.

Jura implemented an on-premises DocuWare digital archive, starting in accounting and expanding company-wide, with invoices scanned into a digital tray and automatic indexing and archiving from Microsoft Dynamics Navision. Service orders and reports are accessed directly from the ERP via an integrated button, eliminating manual filing, speeding retrieval and enabling a five-person team to handle UK after-sales efficiently. The result: faster customer service, lower costs (printing/postage/time), quick user adoption and a low total cost of ownership, with mobile access for field technicians planned next.
