Johanniter Emergency Services, one of Europe’s largest aid organizations with about 56,000 staff and volunteers across nearly 300 member groups, needed a secure, central way to manage personnel files and a tamper‑proof system for incoming invoices. The organization faced slow, paper‑based processes, scattered access across regional and overseas teams, and the challenge of providing permission‑controlled access for HR, accounting and field offices.

They deployed DocuWare on‑premises—scanning workstations and multifunction devices, Intelligent Indexing, an interface to the Diamant ERP, and digital approval workflows with electronic stamps. Today more than 2,000 users access a central document pool, processing times and invoice approval cycles have been drastically reduced (enabling early payment discounts), payslips are imported automatically, audit trails are clear, and the organization is saving time and money while expanding the system further.
