IKEA Austria, a growing arm of the global furniture retailer with six stores and more than 2,100 employees, faced a mounting paper problem in its central accounting department: tens of thousands of incoming and outgoing invoices, credit notes and pay slips each year needed seven‑year retention, were costly to mail and store, and sometimes went missing in transit—threatening the company with increased space requirements and inefficiency.

IKEA implemented DocuWare to scan invoices locally at stores and electronically transfer them to the central office, integrating directly with the CODA Financials system, using barcodes, autoindexing and workflow protocols to book, audit and retrieve documents. The result: the paper archive was made redundant, older optical-plate data migrated, filing costs fell by about 90%, staff saved daily filing time, documents are processed earlier (enabling discounts), and transparency and auditability across accounting and other departments improved significantly.
