UNIMED, the largest health insurance federation in Rio Grande do Sul, Brazil, manages 1.3 million patient accounts across 30 offices and was processing roughly 1.8 million pages per month. Relying on paper records (and a federal requirement to microfilm originals) forced frequent interoffice copying and courier shipments, caused duplicated tests, slow billing and high costs — so UNIMED needed a way to go digital while remaining compliant with retention laws.
UNIMED implemented a hybrid DocuWare solution that simultaneously digitizes and creates archival microfilm (using Kodak i9610 Archive Writers), auto-indexes records and stores them on a secure server for 24/7 access by all offices. The system eliminated massive paper archives and courier costs, improved patient care and record security, reduced duplicate procedures and audit costs, cut accounts-receivable invoicing time (by about 14 days), and delivered a return on investment in under one year.
