HB Munters Group, an international manufacturer of custom climate-control systems, had been digitizing order documents since 1999 but still struggled with paper storage limits, slow searches and hundreds of manually indexed documents each month. After an ERP upgrade and a 2009 review with a DocuWare partner, the company realized their archive solution could be extended into a full document-management platform to address these inefficiencies.

They implemented an integrated, workflow-based DocuWare system that automatically indexes ERP-generated documents, routes orders through purchasing, logistics and accounting with digital stamps, and links invoices to orders. The result: about 2,500 sheets processed automatically each month, much faster approvals and customer responses, improved transparency and auditability, and secure mobile access that significantly boosted throughput and service quality.
