A DocuWare Case Study
The German Red Cross in Ulm is a large non-profit delivering emergency medical services, home care, social services and donor management with over 200 staff, hundreds of volunteers and 17,500 supporting members. Faced with roughly 65,000 new documents a year, overflowing binder archives, hard-to-find records and 35,000 annual rescue-service invoices, the organization needed to eliminate the paper archive and centralize document storage and processing.
They implemented a phased DocuWare document management solution integrated with existing systems (Secure Office, accounting and office apps), using automated indexing and central scanning so staff kept familiar workflows while documents were stored and accessed digitally. The change cut time spent searching and filing, freed physical space (about 80 fewer binders in 2013), sped invoice processing, improved member service and delivered audit-proof storage and workflow-based invoice authorization.
