Bend Park & Recreation District (BPRD), which manages 82 parks, 70 miles of trails and more than 1,000 programs across seven office buildings in Bend, Oregon, faced slow, error-prone AP processes: staff had to manually pull and courier invoices between sites, risking lost documents and taking up to 1.5 hours to find needed records. This decentralized paper workflow limited financial transparency and generated heavy printing and courier costs.
By expanding use of DocuWare into AP digital workflows and a centralized inbox with Intelligent Indexing, BPRD automated invoice capture, storage and routing to managers for review. Today 90% of invoices enter the AP inbox, recurring bills are auto-indexed and routed, managers can retrieve records in minutes, and about 41,000 documents are stored digitally—eliminating many courier runs and reducing roughly 32,000 finance-related pages a year—while improving districtwide transparency and enabling expansion into HR forms.
