Sedus Stoll AG, a long-established European office furniture manufacturer with over 1,100 employees and multiple international offices, faced a growing information-management problem: decentralized purchasing and records processes produced thousands of duplicate paper copies, microfilm reliance, overloaded internal mail, and slow, error-prone searches—about 25,000 documents per month (350,000 per year) needed filing. The company required a system that supported multi-keyword search, ERP/SAP integration and company-wide access to speed workflows and reduce dependency on individual memory or phone calls.
Sedus implemented DocuWare as a central electronic filing system, using automated spool-file archiving, barcode scanning, and Autoindex to pull index data from their host and SAP systems. The result: immediate desktop access to transaction files, faster order handling and purchasing decisions, lower mail and material costs, improved customer service and quality analysis—and the €60,000 implementation paid for itself in under two years.
