Daviess County Public Schools (DCPS) in Owensboro, KY, serves about 11,700 students across 18 schools and roughly 2,000 employees. The district faced slow, duplicative paper-based registration and permission processes, manual retention tracking, and outdated transcript archiving. District Software Specialist Jessica Roark led an initiative to move to electronic forms and digitize records to simplify communications and ensure regulatory compliance.

DCPS implemented DocuWare Cloud to email parents secure web forms with conditional logic, automatically index and store submissions, and enforce Kentucky retention schedules via workflows. The system improved transcript searchability (by name, birthdate, etc.), sped up parent response rates, enabled efficient device sign-outs during COVID, and made compliance and audits easier. As a result, the district moved toward a paper‑lite model and expanded DocuWare use across seven departments.
