A DocuWare Case Study
DAF Trucks, a commercial vehicle manufacturer in Eindhoven (Netherlands), was overwhelmed by paper-based accounting: today the company processes about 600,000 outgoing and 450,000 incoming invoices yearly, and historically about 20% of orders (≈90,000 cases/year) required slow, manual follow-up with global dealers and suppliers. The paperwork created long processing times, heavy mailing and storage costs, and bottlenecks in audit and approval chains.
DAF deployed an on‑premises DocuWare digital archive and workflow with a dealer portal and interfaces to its IBM mainframe ERP. Incoming invoices are scanned and routed for electronic approval, while dealers retrieve A/R invoices from a secure mailbox. About 1,000 users access a central repository (over 5 million documents), delivering large time savings, reduced paper and mail, better compliance and early‑payment capture, improved dealer service and a rapid payback on the investment.
