Butterfield Private Bank - Customer Case Study

Butterfield Private Bank, part of the Butterfield Bank Group in London, serves high-net-worth individuals across private, corporate and investment banking. Facing large volumes of cross-departmental paper files, strict UK retention rules (5–7 years), limited storage and the need to integrate with legacy systems (GLOBUS, Optic), the bank adopted a phased plan to move to a paper-light operation without disrupting security, confidentiality or service.

Beginning in 2005–2007 the bank rolled out DocuWare to scan and index 300–500 documents daily, with more than 110 employees using the system. The solution centralized records, automated retention controls, enforced access permissions, freed physical space, and brought bulk processing in-house—improving customer service and regulatory compliance. Ongoing enhancements (bar-coding, CRM integration) aim to further streamline workflows and move the bank toward a fully electronic document environment.
