Building management company gepe PETERHOFF uses DocuWare for its modern processes and automation

gepe Peterhoff is a German building management company with more than 60 years’ history, around €140 million in revenue and some 7,000 employees. Facing decentralized, paper-heavy document handling across 12 locations, slow invoice approvals and fragmented HR recordkeeping, the company launched a digitization drive to standardize workflows and enable ultra‑efficient, location‑independent working with browser-based access.

They implemented an on‑premises DocuWare DMS with a system house partner, integrating it with Outlook and core business systems and using QR codes for scanned mail. Suppliers were moved to email so paper invoices dropped to 10%, and a special workflow now automates processing for a major supplier (30% of invoice volume). HR uses the DMS for personnel files, vaccination records and sick‑leave handling with strong access controls—resulting in much faster approvals, near‑complete automation for key invoices and a daily indispensable tool for decentralized operations.
