Brother International Europe, the regional arm of the Japanese manufacturer of printers, scanners and related equipment, faced fragmented accounting processes across 16 countries and largely paper‑based invoice approvals. The COVID-19 pandemic and remote work exposed the inefficiencies and risks of manual filing and country‑specific workflows, prompting a push for Europe‑wide standardisation and automation.

Brother selected DocuWare Cloud (integrated with SAP ECC) in 2021 and rolled it out to 16 country organisations and 500+ users. Invoices are automatically imported and indexed from a central mailbox, routed through standardised multi‑stage approvals, and posted to SAP with one click; implementations averaged eight weeks per country. The change freed staff for higher‑value work, improved data quality and auditability, reduced errors and duplicates, and has led to wider adoption and plans to extend the system to purchase order and contract management.
