BEGO, a Bremen-based manufacturer of dental implants, prosthetics and CAD/CAM solutions with a strong international presence, was struggling with overflowing paper files, slow document retrieval, and strict industry documentation requirements. The company needed to downsize its paper archive, create a central document repository and integrate it with its ERP systems (Baan IV, later MS Dynamics AX) while keeping costs manageable for a mid-sized business.

BEGO implemented DocuWare on its existing server infrastructure and added six Fujitsu scanners to barcode and capture incoming documents. About 20 employees in purchasing, accounting, production and sales now access a central document pool directly from the ERP; international partners use the DocuWare Web Client for worldwide access. The DMS streamlined workflows (notably order approvals), eliminated paper filing, saved time and space, and paid for itself in 15 months, with a seamless transition when BEGO migrated to Microsoft Dynamics AX.
