The Bavarian Tennis Association (BTV), one of Germany’s largest state sports associations with around 300,000 members, modernized its headquarters and administrative structure in 2020 and needed a more efficient, transparent way to manage back-office processes. The association sought to streamline workflows, accelerate decision-making and shorten lengthy approval cycles—especially for incoming invoices—while keeping integration with existing systems like DATEV.

BTV implemented the preconfigured DocuWare Cloud after a four-week trial, benefiting from fixed pricing, modular expansion and easy customization with partner support. Incoming invoices are now scanned, automatically indexed and routed through multi-level, trackable approval workflows; processing time fell from up to three weeks to typically 2–3 days (maximum one week), giving full transparency over spending and freeing the association to pursue further digital projects such as a contract archive and digitized travel expenses.
