All Service Group for Facility Management, a Germany-wide provider that handles finance and accounting for facility services, was bogged down by a heavily paper-based invoicing process. About 800 signed work slips arrived monthly in boxes from branch offices, generating 30 binders of paperwork and delays of up to 30 days before services could be invoiced. The company needed a digital, centralized system to speed processing, improve transparency and reduce administrative effort.
They implemented DocuWare Cloud: branches barcode and scan work slips, add metadata, and documents flow into task lists where invoices are created directly in the integrated Sage ERP and archived centrally. Seven staff now work paper-free, invoices are prepared and sent in minutes rather than weeks, full-text search and traceability speed customer queries, and remote access kept operations running smoothly during the pandemic. The cloud model also reduced IT overhead—pay-as-you-go pricing with no on-site servers—and the company plans to expand DocuWare to other processes.
