Maryland Management Company, a leading Baltimore-area property manager overseeing roughly 9,000 units across about 40 apartment communities, faced slow, paper-based leasing and tenant-processing workflows. Communities shipped applications and leases by courier to the corporate office, creating a bottleneck that often took more than a week to process and made finding documents — and notifying applicants — time-consuming and inefficient.

The company implemented an on-premises DocuWare system that uses barcodes, XML integration with accounting, scanning, automated indexing and electronic workflow for credit/background checks, approvals and bookkeeping. The change cut document retrieval from hours or days to seconds, gave property managers and auditors secure self-serve access, and eliminated at least 100 staff hours per month in Bookkeeping and Credit while improving turnaround and customer service.
