Piening Personal, one of Germany’s largest personnel services providers with more than 45 years in business and over 80 locations, faced a heavy administrative burden from invoicing billable hours. Clients use a wide variety of (often outdated) time-tracking systems that produced diverse document formats, forcing staff into time-consuming manual data entry and frequent rule‑based reprogramming—especially during payroll peak periods.

The company deployed DocuWare Intelligent Document Processing (IDP) to automatically extract and import time-tracking data into their Staffing.DE / Microsoft Dynamics 365 ERP. After a trial at the end of 2024 and ongoing AI training, the system now handles roughly 1,000 documents per month (about 200 complex cases routed through a confidence‑based visual check), generates XML for billing, reduces manual workload and peak‑season overload, and is being expanded to additional document types.
