Educational Testing Service (ETS), a nonprofit that develops and scores more than 50 million tests annually, runs roughly 700 meetings a year. Before 2003 those events were decentralized across business units with weak controls and little visibility into contracts, processes, or spend, making strategic management impossible.

ETS centralized meetings in procurement with a CEO‑mandated policy, introduced payment controls (ghost cards and procurement cards), and phased in Cvent technology to automate requests, sourcing, contracting and registration (moving to Cvent’s cloud in 2009). The changes delivered clearer spend visibility, negotiated savings, streamlined contracting and reporting, and lifecycle data to manage hundreds of events more efficiently, with continued work to integrate travel, expense and attendee automation.
