The Royal Botanic Gardens, Kew introduces innovative EDRMS to support its diverse operations

The Royal Botanic Gardens Kew needed a cloud-based Electronic Document and Records Management System (EDRMS) to meet regulatory compliance and enable effective collaboration across its diverse operations and 1,000-strong mobile workforce. To address varied information needs—from scientific research to visitor services and publications—Kew engaged Civica (Civica Digital) to deliver a user-centred EDRMS solution built on the Office 365 platform.

Civica designed and developed a pragmatic, flexible EDRMS—including an innovative decision tree to guide stakeholders—that supports online and offline working and the retention of document, email and paper records. The Civica solution established a clear implementation strategy and a network of information champions, reduced content duplication and paper overheads, and laid the foundations for improved productivity and regulatory compliance across Kew’s enterprise operations and 1,000 staff.
