The Mid Yorkshire Hospitals NHS Trust, which comprises three hospitals serving around one million people, faced long delays and high costs from paper-based patient records — it could take up to four hours to transfer files between sites and the Trust spent around £250,000 a year on off-site storage. In 2009 the Trust chose Civica’s Electronic Document Management System (WinDIP) together with Civica’s e‑Portal to digitise records and improve clinicians’ access to information.

Civica digitised some 19.5 million paper records into WinDIP and made around 300 million images available via a single‑sign‑on e‑Portal, giving 8,000 staff instant access (about 900,000 logins per year and 2 million documents accessed per month, with ~500 clinician e‑Portal logins per week). The solution cut physical storage costs, enabled mobile access via iWinDIP, and — with a renewed five‑year contract to implement Civica’s Cito — is expected to free roughly 19,000 staff hours annually while improving patient care; the Trust also cites Civica’s responsive ongoing support.
