Denbighshire County Council transitions to an all-digital future

Denbighshire County Council, serving about 95,000 residents in north‑east Wales, set out to become an all‑digital organisation by storing information electronically and eliminating paper‑based processes. A Civica customer since 2010, the council adopted the Civica Digital360 suite—including Civica Documents and the Civica Electronic Mailroom—and established a digital records bureau to support its “Digital Denbighshire” vision.

Civica’s Digital360 implementation plus a council‑run digital records bureau automated incoming mail, backscanning and document workflows, delivering measurable savings and productivity gains. The programme now backscans up to 20,000 documents per month, scans and distributes about 200 post items daily, cut archived box storage by 50% and avoided £78,000 in storage extension costs, while improving access for flexible teams and strengthening document retention and GDPR readiness.
