How did University of Texas at Austin save money through administrative scheduling

The University of Texas at Austin’s Academic Technology Support team needed a faster way to schedule computer and hardware deployments for more than 3,000 faculty and staff. Before using Calendly, the process involved six manual steps, created bottlenecks to avoid overbooking, and often took days or weeks to confirm appointments.

UT Austin piloted Calendly, integrating it with Office365 and its ticketing system, and used Calendly admin controls plus self-scheduling links for each support desk. The result was a streamlined process cut from six steps to three, with deployment time dropping from 19.25 hours to 2.4 hours, 17 hours saved on the pilot, 87.5% cost savings, and 20% fewer errors and rework.
