Service Systems Associates (SSA), a food and retail services provider to more than 27 million annual visitors across 45 cultural attractions, was burdened by a highly manual accounts payable process—about 3,500 paper invoices per month with 8–10 manual touches each, risk of lost or misfiled documents, limited AP staff, and a need to automate approval routing, eliminate dual data entry, and improve invoice visibility.
SSA implemented Bottomline Technologies’ Transform AP for SharePoint to automate invoice processing and integrate with Microsoft Dynamics, increasing visibility into invoice status and audit history while removing paper from workflows. The automation reduced fraud risk and enabled more early payment discounts, and delivered about $27,200 in annual savings (including $15,000 from paper reductions, $5,000 from eliminated storage/recycling gains, and $7,200 from lower last‑minute shipping), plus faster invoice lookup and improved approval accountability.
