Mencap, a UK charity supporting people with learning disabilities, faced inefficient payroll processes: staff were manually entering employee hour changes across two systems and producing written confirmations, a workload made worse by COVID‑19 and creating a risk of incorrect pay. To solve this, Mencap engaged SS&C Blue Prism and its digital worker automation capabilities.

SS&C Blue Prism deployed an intelligent digital worker that pulls request forms from a central folder, updates employee hours across both systems, generates confirmation letters, and routes incomplete forms to an exceptions queue. The automation has returned about 50 hours (roughly three days) per month to the team, delivered £120,000 in cost savings so far, reduced the chance of human error and helped ensure employees are paid correctly, with potential savings projected up to £1M if scaled.
