Certas Energy Processes Supplier Invoices 93% Faster With Intelligent Automation

Certas, the U.K.’s largest fuel and lubricant distributor, faced a heavy manual accounts payable burden: thousands of supplier invoices each month and hundreds of thousands annually, with complex, error-prone measurements (volume/temperature shifts) that could take between 5 and 30 minutes to process. To address this, Certas engaged SS&C Blue Prism and deployed intelligent automation on the SS&C | Blue Prism Cloud platform to streamline invoice handling.

SS&C Blue Prism implemented digital workers (fed by ABBYY OCR) that extract invoices from email, queue them for the SS&C Blue Prism robot “Sir Lancelot,” and automatically match and reconcile invoices against goods received notes with built-in tolerance rules and exception comments. The automation reduced processing time to about one minute per invoice — a 93% speed improvement — enabled same-day processing, eliminated backlogs, boosted employee productivity, and helped Certas meet payment agreements (earning SS&C Blue Prism a Customer Excellence Award).
