NHS Trust cuts smartcard registration by 50% with Bizagi

NHS Buckinghamshire, which delivers care across multiple hospitals and community sites, faced a complex challenge: giving more than 6,000 staff appropriate electronic access to patient records via smartcards. The Trust’s manual, paper-based five-step registration process—handled by separate registration authorities across dispersed locations—created 5–6 week delays, errors, resource bottlenecks and limited strategic visibility for managers.

Working with Bizagi, the Trust modeled and deployed an online Bizagi BPMS workflow that automates smartcard registration, schedules face‑to‑face appointments, integrates with existing NHS hardware and sends real‑time notifications. Implemented in under four weeks, the system cut processing time to under 13 days (about a 50% reduction), reduced errors and bottlenecks, improved back‑office efficiency and reporting, and achieved high user and management satisfaction.
