Birkbeck, University of London — a specialist provider of evening higher education — launched an Operational Excellence programme to streamline key administrative and financial processes, reduce errors and duplication, and enable business users to drive their own improvements. After reviewing multiple vendors, Birkbeck chose Bizagi for its ease of use and ran workshops to prioritize and model high‑volume processes spanning many university units.
Using Bizagi, Birkbeck automated the Student Status Amendment and student‑loan tracking processes and exposed them through an online student portal, while introducing a “Fastfix” initiative for small business-led improvements. In under a year three core processes were live: case closure time fell from 93 to 10 days (about 90% faster), ~20,000 students gained access (≈3,000 cases/year), and tuition‑loan related debt dropped from 18% to 1.9%, giving the university far greater clarity over income.
