Birkbeck University automates student status amendment process to operate 90% faster to better support student loans

Birkbeck, University of London, sought to improve operational efficiency and the timeliness of student loan applications as part of an Operational Excellence program. The university faced data duplication, errors and slow processing when students changed courses, and needed to model and automate its Student Status Amendment process while integrating with multiple systems.

Using Bizagi’s digital process automation and Process Modeler, Birkbeck created the My Birkbeck Profile portal and automated the SSA workflow, linking systems such as Oracle APEX and the Student Loan Company. The solution made the process 90% faster, reduced ‘Promise to Apply’–related student debt by 16%, serves 30,000 students with about 3,000 cases closed per year, and introduced a Fast Fix initiative to empower ongoing staff-led improvements.
