The Wyoming School Facilities Commission (SFC) manages capital construction and major maintenance for K–12 facilities across 48 school districts covering a 400 x 400 mile area, including hundreds of educational and support buildings. Before implementing a centralized system, the SFC relied on spreadsheets and disconnected databases, lacked controls and process documentation, and found reporting time-consuming and unreliable—an audit showed 750 of 1,100 projects were overspent and the agency could not accurately track funded projects or expenditures.
The SFC selected AiM by AssetWorks and, after a phased implementation, rolled the IWMS out to all districts for state-level reporting. AiM enforces electronic payment requests, approvals, invoice attachments and reconciliations, integrates historical financial data ($1.765B), and delivers live BIRT reports publicly on the SFC website. The result is stronger internal controls, faster, auditable workflows, real-time transparency for taxpayers and the legislature, and improved ability to prioritize and manage district facility plans.
