Case Study: State of Oklahoma TRIPCard achieves real-time fuel control and faster reconciliation with AssetWorks

A AssetWorks Case Study

TRIPCard is a ‘real-time’ saver for Oklahoma

The State of Oklahoma Fleet Management Division, which oversees a 9,500-vehicle fleet, struggled with the limitations of traditional fuel cards: weak transaction controls led to unauthorized purchases, employees relied on paper reports, and manual reconciliation created delays that made it hard to investigate discrepancies and control costs.

They adopted AssetWorks’ TRIPCard—a MasterCard-backed p-card that integrates in near real-time with FleetFocus—enabling pre-authorization, per-user/vehicle limits (fuel type, gallons), mileage capture at the pump, and immediate flags for out-of-parameter charges. With about 1,100 vehicles on the program, reconciliation time fell from a week to 1–2 days, administrative overhead and abuse were reduced, data accuracy improved, and managers can address maintenance or misuse issues much faster.
