The City of Ottawa’s Fleet Department, led by Shawn Smithson, faced the challenge of supporting a large, distributed operation—150 mechanics, 20+ stores staff, 50 admin users and 23,000 city employees across 23 fuel sites—while managing complex fleet and fuel software, data reporting and security needs with a small FMIS team. Upgrades to more secure, highly customizable systems and heavy day‑to‑day support demands also required clear policies, manuals and reliable reporting to keep operations running smoothly.

The team implemented AssetWorks FleetFocus and FuelFocus as an integrated solution, established a steering committee, developed user manuals and procedures, and built custom Oracle scripts and Crystal Reports to support reporting and pilots. The result was real‑time pump-to-software verification, improved fueling accuracy and billing, stronger security, and measurable time and cost savings—plus smoother change management and better collaboration across the fleet organization.
