The Louisiana Property Assistance Agency (LPAA) in Baton Rouge manages the control and disposition of the State’s movable assets and must barcode and track assets with an acquisition cost of $1,000 or more. In the early 2000s LPAA relied on pen-and-paper processes and a custom mainframe to handle several hundred thousand assets annually, creating slow surplusing and pickup cycles (up to three months) and a heavy administrative burden across nearly 600 agencies and 1,200 users.
LPAA implemented AssetWorks in 2003—deploying Asset Management (AMS), Surplus Management (SMS), and Scan & Validate (S&V)—to automate tracking, approvals, warehouse operations and barcode scanning. The solution enabled faster, more accurate inventories (about 25,000 assets in two days with 4–5 people), kept the surplus warehouse open during counts, sped pickups and auctions, reduced paperwork with single-form disposals, automated reimbursements, improved reporting and accountability, and dramatically cut time and labor across ~500,000 assets handled per year.
