International Ballet Summer Workshop Estonia, an intensive three‑week programme drawing participants from about 30 countries, needed to scale up operations in 2019 while relying on a core staff of just seven. To recruit and manage a growing volunteer workforce that could operate with minimal supervision, the organisation chose Zelos Team Management’s Zelos platform to promote self‑management and simplify volunteer coordination.

Zelos Team Management delivered a mobile app that let volunteers onboard in under two minutes, sign up for tasks as they went live, receive notifications, report issues and earn points and badges. By using Zelos, the team delegated routine duties—transport, class assistance, merchandise sales, costume help and social media updates—more efficiently, increased volunteer engagement (many tasks were claimed immediately, even when posted overnight), reduced staff stress, expanded participant‑facing activities, and enabled the workshop to scale while keeping the same core team.
