Brett Tarr, Counsel for litigation and e-discovery at a large hospitality and entertainment company, was responsible for managing thousands of active matters each year and struggled with an old legal-hold tool (Clearwell) that made creating notices slow (20–40 minutes), produced unclear plain-text messages, and required a clunky, non-mobile acceptance process. Because of those limitations, the team issued holds inconsistently and saw custodian acceptance rates in the 30–50% range, creating heavy follow-up burdens and exposure to preservation risk.

Moving to Zapproved’s Legal Hold Pro — a cloud SaaS with templates, rich-text formatting, tagging and easy custodian import — cut hold creation to about five minutes, enabled one-click acceptance from any device, and improved message clarity. Acceptance jumped to 91% (955 of 1,048 custodians), 47% of holds achieved 100% compliance, weekly follow-up time fell from 3–5 hours to ~20 minutes, and the team reported no preservation sanctions or data-loss incidents.
