Fujifilm Graphic Systems UK (Fujifilm) faced a heavily paper-based customer service operation: hundreds of paper equipment orders, contracts and correspondence arrived daily and required manual sorting, matching to accounts and filing into more than 20 cabinets—an error-prone, time-consuming process with potential customer service and legal risks. To modernize capture, filing and retrieval, Fujifilm adopted Xerox DocuShare alongside Xerox ConnectKey®–enabled MFPs.
Using Xerox DocuShare (implemented with partner support), Fujifilm now scans incoming paper and electronic documents directly into a centralized digital repository. The change reduced weekly filing that once took hours to just minutes a day, eliminated 20+ filing cabinets, enabled simultaneous secure access for the 20+ staff members, cut paper and postage costs, and allowed retrieval of a 30‑page, three‑year‑old contract in minutes—demonstrating clear time, space and compliance benefits from Xerox DocuShare.
