Reducing costs and increasing efficiency by centralizing print production

David Douglas School District in Portland, Oregon, needed to cut print production costs without reducing services. Its decentralized model left hundreds of overworked devices spread across schools, while district communications were still handled separately with offset presses. The district also relied on a full-time repair person to keep aging equipment running, prompting a production audit and a search for a better approach. Xerox Corporation was brought in to help modernize the district’s print environment, including a Skyline Web-to-print solution.

Xerox Corporation helped the district centralize production at a district-office copy center using a Xerox WorkCentre 7545 multifunction system, three Xerox 4112 copier/printers, and networked Xerox devices at the schools for scanning and short-run jobs. The new workflow enabled teachers to submit jobs online, improved turnaround to a guaranteed two-day standard, and expanded access to color and media options. The impact was significant: the copy center grew from 16,000 pages per month to 2 million, per-sheet costs were cut in half, and the district set a goal of saving $750,000 over five years.
