How Xelix outperformed Springer Nature’s in-house invoice-checking tool

Springer Nature, a global scientific and research publisher processing about 250,000 invoices annually, struggled with duplicate payments, multi-currency and VAT errors despite an in-house duplicate-checking tool and SAP’s basic checks. Faced with rising volumes, reliance on manual reviews and an outsourced BPO that only ran the internal tool after payments, Springer Nature sought a third-party solution and trialled the Xelix platform to see if it could outperform their homegrown system.

Xelix was implemented to run checks prior to payment runs and to monitor BPO performance; it identified far more duplicates, flagged currency and VAT mistakes (preventing costly overpayments), and highlighted duplicate vendors. The partnership also added bespoke features via co-development. As a result, Springer Nature achieved an 8x ROI in year one and a dramatic reduction in currency and VAT errors, with Xelix now acting as an “insurance” layer that frees internal resources and protects against large payment mistakes.
