The Oklahoma Department of Human Services (OKDHS) needed to modernize its Medicaid waiver operations for more than 18,000 elderly and disabled members. Its paper-based process created delays at every step—from assessments and enrollment to authorization and service delivery—and limited visibility for providers and staff. OKDHS implemented WellSky Human Services to replace inefficient manual workflows.

WellSky Human Services automated assessments, service planning, authorizations, and help desk ticketing through modules including waiver management, financial management, reporting, consumer, mobile assessments, and incident forms. As a result, service plan authorization time dropped to an average of 4 days, provider applications shifted from annual paper processing to quarterly online submissions, and the state achieved roughly a 1% error rate on about 50 prior authorizations sent each weekday. WellSky also helped the agency reduce paper, shipping, and administrative burden while improving real-time visibility.
