Windarring, a community-based disability service provider in Central Victoria, was struggling with a manual expense process across 180+ staff and six locations. Using spreadsheets, shared debit cards, and inconsistent receipt collection, the team was ending each month with thousands of dollars in expenses that were difficult to reconcile, delaying close and limiting their ability to recharge costs properly. Weel was brought in to help streamline spend management and expense tracking.
With Weel’s spend management platform, corporate cards, budgets, and reporting categories, Windarring replaced spreadsheets and improved expense control and compliance. The result was a reduction in monthly expenses from about $25,000 to $9,000–$10,000, same-day turnaround of expense reports, no more missing receipts, and annual savings of about $200,000. Weel also helped Windarring better track rechargeable costs so it could support more services and events for NDIS participants.
