A WebFM Case Study
The Ministry of Education, New Zealand, which manages a portfolio of some 2,500 public schools, faced inconsistent condition assessments and fragmented asset data because each school’s Project Manager used different approaches and storage formats. This lack of a centralised, standardised methodology prevented whole-of-portfolio visibility and made strategic budgeting and maintenance planning difficult. WebFM was engaged to provide a combined consulting service (FmConsult) and its MPlan system to standardise assessments and create a central online repository.
WebFM implemented a tested methodology, trained Project Managers, and deployed MPlan to focus audits on major defects linked to strategic capital needs, not routine maintenance. As a result, the Ministry gained instant access to consistent 10-year maintenance plans and whole-portfolio intelligence, cutting assessment time from three days onsite to about two hours and reducing identified defect records from over 1,600 mostly minor items to just 30 major defects—enabling more accurate, optimised departmental funding and ongoing in-house capability.
