Vision Care Associates, a group of 10 partners operating 22 optometry locations, faced a major challenge keeping forms, appointment reminders, and patient messaging consistent across offices while allowing small local variations. Company-wide emails weren’t enforcing processes, and administrators struggled to audit and standardize content across multiple logins — so Vision Care Associates turned to Weave.

Weave gave a central admin the ability to audit and edit appointment reminders, reminder cadence, forms, and other content for each location via a simple dropdown (no logging in and out), enabling much faster fixes and consistent workflows. Using Weave reduced administrative time, cut callback volume by allowing automated texts to notify patients when eyewear or contacts are ready, and improved continuity and implementation of standards across all 22 locations.
