The Ministry of Justice Estate Directorate, which manages the estates of HM Prison Service, HM Courts Service and the Probation Service across England and Wales, needed to standardise document control and reduce operational risk across a large, distributed estate. Their challenge was to create a web-hosted archive and easy-to-access standards library, and to provide a collaborative environment where project delivery teams and strategic partners could access and manage project data.

They implemented Viewpoint For Projects (4Projects) as a live extranet with a central “standards” area for documents such as cell layouts and kitchen specifications, giving 5,350 users from 631 organisations secure, role-based access to the right information at the right time. The solution streamlined project delivery and incident response, reduced risk, and supported ongoing enterprise collaboration (partnership in place since 2006 and renewed in 2011).
