Lincoln College faced slow, paper-based purchase-to-pay processes across 60 cost centres and eight sites (including a recent merger with Newark College), with invoices frequently delayed, lost in internal post, and incurring printing, postage and third‑party archiving costs. To tackle this, Lincoln College implemented V1 Limited’s DbArchive, tightly integrated with their Symmetry Financials accounting system.
V1 Limited’s DbArchive scans and links invoices to Symmetry so up to 70 authorised staff across three sites can retrieve and approve invoices on‑screen, cutting invoice approval time by four days, eliminating external archiving fees and saving thousands of pounds, while freeing storage space and reducing printing and carbon emissions. Lincoln College is also considering V1 Limited’s DbCapture OCR to further reduce manual data entry by up to 80%.
