Cambridge Assessment, Europe’s largest assessment agency, faced an inefficient, paper‑based accounts payable process—only three months of invoices on‑site, costly off‑site archiving, frequent lost claim forms and heavy manual data entry requiring temporary staff at peak times. To address this, Cambridge Assessment engaged V1 Limited to modernise AP using V1’s document management, imaging and authorisation systems.

V1 Limited implemented DbArchive and DbAuthorise (integrated with CODA Financials), scanned documents with a Kodak i1420 and used OCR to capture and verify invoice data, enabling electronic storage and retrieval of up to 250,000 documents a year. The solution cut manual data entry by approximately 75%, eliminated lost documents and expensive archiving and reduced the need for temporary filing staff, while speeding approvals and lowering late‑payment risk.
